Track the real numbers, booking by booking

The Short-Term Rental Host Tracker logs every booking and expense for up to five properties: payout reconciler, per-property P&L, occupancy, ADR and RevPAR, lodging tax and a year-end category summary for your tax professional. Google Sheets and Excel.

How the numbers are worked out

  • Nights booked = occupancy × 30.4 nights (an average month). Stays = nights booked ÷ average stay.
  • Platform fees = fee % × (rent + cleaning fees charged).
  • Cash flow before tax = rent + cleaning fees − platform fees − cleaning costs − monthly running costs. Because your mortgage payment includes principal (which builds equity rather than being an expense), cash flow is lower than accounting profit.
  • ADR (average daily rate) is rent per booked night. RevPAR (revenue per available night) is rent ÷ all nights in the month, so it rises with both rate and occupancy. Some market-data tools include cleaning fees in ADR, so their figures may run higher.
  • Break-even occupancy is the occupancy at which cash flow is $0 with your current rate, stay length and costs.

Which platform fee should I use?

Fees depend on the platform and your settings, and they change, so check your own payout statements. As of October 2026, most Airbnb hosts pay a host-only fee of about 15.5% of the booking subtotal (nightly rate plus cleaning and other host fees, before taxes). Airbnb has moved US hosts off the old split fee (about 3% for the host), which now applies only to bookings made before the switch. Vrbo is moving hosts to a single 12% commission on bookings made from October 29, 2026; subscription listings move when they expire. Direct bookings usually cost only card processing, often around 3%, plus any booking software.

What's left out

Lodging and occupancy taxes you collect and pass on aren't income, so they're excluded. So are income tax, depreciation, big one-off purchases and seasonal swings. Mortgage principal is counted as a cost here, though for tax purposes generally only the interest is an expense; your tax professional can confirm what applies to you. For a year with real seasonality, use your actual monthly bookings instead of an average.
